Everything You’ll Need

Optimax Systems, Inc. will be holding Open Enrollment for the 2026 Plan Year from Monday, October 20th, 2025 – Friday, October 31st, 2025.

This years open enrollment is ACTIVE, meaning that you will be required to log into the ADP Workforce Now (WFN) Enrollment System to make your elections for 2026.  No enrollment elections will rollover into 2026 for you (except for your voluntary short-term and long-term disability, as well as any voluntary life insurance elections).  All other benefits will require an action (enroll or waive) to be completed during this Open Enrollment period.

Important Note: If you are enrolled in the Flexible Spending Account (FSA), Dependent Care FSA, or Health Savings Account (HSA) in 2025, these plans will not rollover into 2026.  If you desire to be enrolled in these plan options for 2026, you will need to go into ADP and elect these options.

A couple important notes for the 2026 plan year;

Dependent Care FSA IRS maximums are increasing to $7,500 per household (or $3,650 per individual, if married, filing separately)

Optimax Systems, Inc. has enhanced the NY State Statutory Disability policy for 2026 with an increased benefit of 50% up to $510 per week.  This benefit remains integrated with the Voluntary Short-Term Disability plan (should someone be enrolled in it).  Since this enhanced benefit, fully paid by Optimax, provides significantly greater coverage, employees who no longer wish to keep their voluntary short-term disability (100% employee paid), may choose to drop it during open enrollment.

Optimax Systems, Inc. will no longer be offering the AFLAC Accident, Critical Illness, and Hospital Indemnity Plans as of 1/1/26.  We will be offering Accident and Critical Illness plans however through Mutual of Omaha effective 1/1/26.

ADP Online Enrollment

ADP Workforce Now (WFN) is utilized for all employees in order to make your benefit elections, request changes (if you have a qualifying event), as well as process any updates to your beneficiary information (for life insurance).  There is a self-serve guide below to assist employees in the process of enrolling or making any changes in the system:

Change of Family Status

Employees

If you are a regular, full-time employee scheduled to work at least 30 hours per week, you are eligible for all benefits offered (included in both the benefits guide and benefits website).

Dependents:

You may enroll your dependents in certain plans.  For benefit purposes, your eligible dependents are defined as:

  • Your spouse (unless legally separated), or domestic partner
  • Your children, including:
    • Your naturally born child(ren);
    • Your legally adopted child(ren).  An adopted child is considered a dependent from the moment the child is placed in the custody of the adoptive parents.
    • A stepchild, foster child, or any child of whom you have legal custody, who resides in your household in a regular parent-child relationship and is principally dependent on you for his/her support and maintenance and is named as an exemption on your most recent federal income tax return (proof may be required).
    • Any child whom you are required to provide health care coverage for under a Qualified Medical Child Support Order

Eligible children (as defined above) are covered for medical, dental, and vision purposes until the end of the month following their 26th birthday.

Qualified Life Event:

After new hire / open enrollment, you may change your benefits only if you experience a qualifying life event, such as the below examples:

  • Marriage, divorce, or legal separation
  • Birth or adoption of a child
  • Change in child’s dependent status
  • Death of a spouse, child or other qualified dependent
  • Change in employment status or a change in coverage under another employer-sponsored plan

Requests for a qualifying event must be received within 30 days of the event date.  The change will be added to your coverage as of the date of the event.  If you submit a qualifying event more than 30 days after the event, the change is subject to carrier approval.
